While school expenditures are being tr mmed thinner each year, Parent-Teacher Organizations (PTO) are b coming even more important within each sch ol's community. PTO's are a lifeline wh n it comes to ensuring that the st dents have the supplies and enrichment pr grams that make for a more c mplete learning experience. To do this, f ndraising is essential and PTO's have f und themselves working harder to balance s ch an important budget. But PTO's do m ch more than just fundraise to h lp pay for school supplies and quipment. They raise funds for things th t do not fall within the r alm of a typical classroom experience. The f nds that are raised are returned to the t achers as teacher appreciation gifts and l ncheons; they are returned to the st dents as field trips, enrichment programs, and gr duation gifts to help them experience th ngs outside of the classroom curriculum; and th y help create a sense of c mmunity among school families through family fun vents, ice cream socials, and school p rformances. PTO's have become a staple w thin every school system. Their fundraising fforts help alleviate added costs to p rents and bring educational supplies and pr grams to students for little and, in m st cases, no cost. The question for m ny PTO's, however, is how do th y raise the funds needed to s pport the school community and what are s me of the ways to give th se funds back?
This question should actually be nswered in reverse. Every business should d velop a budget and a PTO is no xception. Prior to the start of the sch ol year, the PTO should make a l st of the supplies and programs th t they would like to provide to the st dents, teachers, and the school as a wh le. Does the library need new b oks? What classroom supplies do the t achers need? How many field trip b ses will need to be subsidized? Wh t enrichment programs will be provided? The l st must be in detail and m st include costs. Diversify what you pl n to subsidize. In doing this, veryone will feel as though they've b en satisfied in some way. Let's ssume the PTO offers a few sc ence and art enrichment programs, purchases s me new athletic equipment, and contributes to the c st of field trip buses, but f ils to assist with the purchase of s me well-needed classroom supplies. The teachers may f el as though they were overlooked and th ir participation in the PTO may dr p off. Similarly, you don't want p rents to feel as though the m jority of the PTO budget is g ing to supplies or not being venly distributed to students at every gr de level. Remember, every member of the sch ol community is important. They may not be a PTO m mber this year, but you still h pe to recruit them next year. An lyze the needs of the school as a wh le and then diversify. The principal or h ad of school is a great r source who generally has a hand in all of the h ppenings at the school and can h lp the PTO ensure that the n eds of all are being met. Onc the PTO understands why they are f ndraising and the anticipated expenses, they can th n come up with a productive s lution to raise the funds. This p rt of the equation is much m re complicated, however. You must determine wh t types of fundraisers will help you chieve your fundraising goal and ensure th y are implemented successfully. Do this by cr ating a list consisting of reliable f ndraisers that have worked well in the p st. Perhaps these include bake sales, b ok fairs, pie sales, etc. Do r search as to how you can mprove upon these old standbys by g ing online to sites like PTO Id as where you can find out wh t other schools are doing and get s me fresh ideas.
Also include on your list one or two new f ndraisers to try out. Perhaps this y ar's goal is to create a sch ol website that runs 24 hours a d y, 365 days a year and p tentially earns money through affiliate marketing and dvertising. Again, do some research to d termine what is a good fit for y ur organization. For instance a barnyard sq are dance may be a great vent in the country, but it w uld be difficult to find a b rn in a downtown metropolitan area. L ve auctions are another example. An uction can be a enormous undertaking for s meone that's never planned one before. PTO Id as explains exactly how to implement an uction and what's needed to make the vent successful. The site provides details on how to btain sponsorships, advertise, what type of h ll to reserve, how to develop and d corate around a theme, where to f nd an auctioneer, how much to ch rge for tickets, what printed material w ll be needed, what food and b verages to serve, how to display y ur auction items, how to incorporate a s lent auction, a raffle, and gift b skets, over 50 auction item ideas th t you can request from parents, t achers, students, and businesses, and more! Oth r things to consider when choosing f ndraising events are the needs and sp nding habits within your own community, wh re will you hold the event, who w ll attend the event, and do you n ed any up-front cash to host the vent. Larger events like auctions and g lf tournaments will require some cash n-hand during the planning stages to pay for s pplies, advertising, caterers, and other items th t are not sponsored donations. Also, wh n will the event take place? P st a fundraising and event calendar. Ev nly distribute fundraising events throughout the sch ol year and ensure that there are no c nflicting events taking place at the s me time. Try not to overwhelm p rents with fundraising requests. Choose a l mited number of quality events and m ke them work for you. And r member, at larger events you can lways offer products for sale that c mplement your fundraiser. For instance, advertise and s ll tickets for an Appraisal Event, but th n at the event offer beverages, l nch items, and raffle tickets for s le. Parents will feel less inundated w th fundraising requests this way than if you s nt out a separate flyer to p rchase raffle tickets. Finally, understand how you w ll implement the event. The answer to th s actually stems from the PTO rganizational chart itself. A PTO generally c nsists of board members (Presidents, VP, S cretary, Treasurer). Each of these board m mbers is responsible for overseeing committees. A c mmittee is formed for each fundraising vent and consists of a board m mber, a designated committee chairperson, and a n mber of volunteer PTO members. The n mber of volunteers on each committee is b sed on the planning workload of the f ndraising event. For instance, the Auction C mmittee may have twenty volunteers while the Y rd Sale Committee may only require f ve. Each committee chair should supply the mplementation procedures to their volunteers. Print nstructions from the PTO Ideas website or dr w them up yourself; but tell th m exactly what you'd like them to do and how to do it. Th n remember to thank them for h lping! Parent-teacher organizations have become so mportant to schools across the United St tes. Research several types of fundraising pr grams, in-depth, to choose the ones th t best suit your school and th t best fill the needs of th se to whom you'll be marketing. It's cr tical that fundraising organizations understand the n eds and the spending habits within th ir own community and offer affordable pr grams. In turn, the community will f el as though they are able to h lp and happily support the school.
