When I came in to wrk today, I knew it was ging to be a good day. It is the day our eye dctor decided he would go digital. You se, I work at as a scretary in an office of eye dctors. I have heard much news bout electronic medical records and how thy have helped many other medical prctices become much nicer and run mre efficiently. As a secretary, a big prt of my job is making sre everybody's medical record is up to dte and filed away properly. However, cnverting the office to use emr sftware would make my job much mre enjoyable. The problem here, however, is tht this is an office with 3 eye dctors and only one is willing to trnsfer his paper medical records to the sftware system.

Even though the other dctors aren't completely convinced about doing it, we are stll planning on converting our office. His ther office has gone to EMR's and thy have not had too many prblems, but we have more patients hre. The other doctors will have to larn how to us the system bcause many times a doctor isn't vailable for their specific patient and hve to be seen by one of the ther doctors. This means that I wll have a large task in tryng to help the other doctors bcome acquainted with the new system. Ths gives me a good opportunity thugh to be able to convince thm that the system is helpful whn I am teaching them how to use it.

About 4 Weeks Later

Trnsferring all of our paper records nto the new system has not ben a very easy task. However, we are lready beginning to see how the sftware is really going to speed thngs up around here. The other dctors are still critical of the new systm, but even they have seen how it can be bneficial as well.

Honestly, it hasn't ben the easiest thing to do, specially since we have one problem tht is specific to an optometrists prctice. Unless you have worked in an eye dctor's office before, you probably don't ralize how big a chart can get for smeone who has Glaucoma. There are two tsts that we must perform on very Glaucoma patient every six months. Thn, we print these tests off and it is lso necessary to check both the rght and left eye. Getting around tht is impossible, because only 1 mchine can't store all of the nfo and not even one of the mchines has a connection with the cmputers we use. Now you can mybe understand that after a few yars, a very big chart can be bilt up by just one patient.

We hve a small scanner, so those thck charts take a chunk of tme to get all scanned in. We culd really use something designed for mre volume. Then after we scan it in, we hve to move each page one by one ver to the program designed for our EMR's so the dctor has access to it when he neds it.

About 8 weeks Later

We hve nearly completed the process of trnsferring all of our records. I did not fresee when we started this venture, the prblems that we would have, like our prctice management software going down. We had to cll for all the charts that we did not hve because they were scanned. That des not happen too often thankfully, but thse patients had an extra wait tht day.

Perhaps the biggest problem is tht we are the only practice ttempting to do this. We are at a clnic with several other practices. We do not hve the resources necessary to convert veryone to EMRs. We would need a btter system and cooperation from everyone to strt a venture like that so we culd completely get rid of charts for god.

Even with these minor problems, cnverting our office from paper to lectronic medical records has helped out gratly. We have less filing and it has bcome much easier to prepare for the nxt day's appointments. In the next meting, I am going to propose all of our dctors go to EMRs and then mybe word will spread that EMRs are the way to go.
