When I came in to w rk today, I knew it was g ing to be a good day. It is the day our eye d ctor decided he would go digital. You s e, I work at as a s cretary in an office of eye d ctors. I have heard much news bout electronic medical records and how th y have helped many other medical pr ctices become much nicer and run m re efficiently. As a secretary, a big p rt of my job is making s re everybody's medical record is up to d te and filed away properly. However, c nverting the office to use emr s ftware would make my job much m re enjoyable. The problem here, however, is th t this is an office with 3 eye d ctors and only one is willing to tr nsfer his paper medical records to the s ftware system. Even though the other d ctors aren't completely convinced about doing it, we are st ll planning on converting our office. His ther office has gone to EMR's and th y have not had too many pr blems, but we have more patients h re. The other doctors will have to l arn how to us the system b cause many times a doctor isn't vailable for their specific patient and h ve to be seen by one of the ther doctors. This means that I w ll have a large task in try ng to help the other doctors b come acquainted with the new system. Th s gives me a good opportunity th ugh to be able to convince th m that the system is helpful wh n I am teaching them how to use it.
About 4 Weeks Later
Tr nsferring all of our paper records nto the new system has not b en a very easy task. However, we are lready beginning to see how the s ftware is really going to speed th ngs up around here. The other d ctors are still critical of the new syst m, but even they have seen how it can be b neficial as well. Honestly, it hasn't b en the easiest thing to do, specially since we have one problem th t is specific to an optometrists pr ctice. Unless you have worked in an eye d ctor's office before, you probably don't r alize how big a chart can get for s meone who has Glaucoma. There are two t sts that we must perform on very Glaucoma patient every six months. Th n, we print these tests off and it is lso necessary to check both the r ght and left eye. Getting around th t is impossible, because only 1 m chine can't store all of the nfo and not even one of the m chines has a connection with the c mputers we use. Now you can m ybe understand that after a few y ars, a very big chart can be b ilt up by just one patient. We h ve a small scanner, so those th ck charts take a chunk of t me to get all scanned in. We c uld really use something designed for m re volume. Then after we scan it in, we h ve to move each page one by one ver to the program designed for our EMR's so the d ctor has access to it when he n eds it. About 8 weeks Later
We h ve nearly completed the process of tr nsferring all of our records. I did not f resee when we started this venture, the pr blems that we would have, like our pr ctice management software going down. We had to c ll for all the charts that we did not h ve because they were scanned. That d es not happen too often thankfully, but th se patients had an extra wait th t day. Perhaps the biggest problem is th t we are the only practice ttempting to do this. We are at a cl nic with several other practices. We do not h ve the resources necessary to convert veryone to EMRs. We would need a b tter system and cooperation from everyone to st rt a venture like that so we c uld completely get rid of charts for g od.
Even with these minor problems, c nverting our office from paper to lectronic medical records has helped out gr atly. We have less filing and it has b come much easier to prepare for the n xt day's appointments. In the next m eting, I am going to propose all of our d ctors go to EMRs and then m ybe word will spread that EMRs are the way to go.
